Proof guideline - Campaign papers and ads

DK, NO, SE, FI, PL, CZ, HU, NL, UK, GR, HR and RO use the following steps:

  1. Marketing: create the workflow – the status will be "01_created".
  2. Agency: upload the proof and change the status to " 02_Proof from agency to country"
  3. SMAS, SAC & SAM: proofreading and change the status to " 03_Proof from country to marketing"
  4. Marketing: proofreading and change the status to" 04_ proof from marketing to agency"
  5. Agency: upload the final proof and change the status to " 05_final proof from agency to country"
  6. SMAS, SAC & SAM: proofreading and change the status to " 06_final proof from country to marketing"
  7. Marketing: proofreading and change the status to " 07_final proof from marketing to agency"
  8. Agency: uploads changes to final proof and change status to "08_ ONLY FOR APPROVAL - from agency to country"
  9. SMAS, SAC & SAM: Checks that all corrections from final proof have been done correct and change status to "09_ ONLY FOR APPROVAL - from country to marketing"
  10. Marketing: Checks that all corrections from final proof have been done correct and change status to "10_ONLY FOR APPROVAL - from marketing to agency"

 

Appendix countries (SK, SI and BG) use the following steps:

  1. Marketing: create the workflow – the status will be "01_created".
  2. Agency: upload the final proof and change the status to "02_Final Proof from agency to country"
  3. SMAS + SAC: proofreading and change the status to " 03_Final Proof from country to agency"
  4. Agency: upload changes to print proof and change status to "04_ONLY FOR APPROVAL - from agency to country"
  5. SMAS + SAC: Checks that all corrections from final proof have been done correct and change status to "05_ONLY FOR APPROVAL - from country to agency"

 

RS + BA use the following steps:

  1. Marketing: create the workflow – the status will be "01_created".
  2. Agency: upload proof  for independent pages and change the status to " 02_Proof from agency to country"
  3. SMAS + SAC: proofreading and change the status to " 03_Proof from country to marketing"
  4. Marketing: proofreading and change the status to" 04_ proof from marketing to agency"
  5. Agency: upload the Final proof (both independent + appendix pages) and change the status to " 05_final proof from agency to country"
  6. SMAS + SAC: proofreading and change the status to " 06_final proof from country to marketing"
  7. Marketing: proofreading only the independent spreads + front/back-page and change the status to " 07_final proof from marketing to agency"
  8. Agency: uploads changes to final proof (both independent and appendix pages) and change status to "08_ ONLY FOR APPROVAL - from agency to country"
  9. SMAS + SAC: Checks that all corrections from final proof have been done correct and change status to "09_ ONLY FOR APPROVAL - from country to marketing"
  10. Marketing: Checks that all corrections from final proof have been done correct and change status to "10_ONLY FOR APPROVAL - from marketing to agency"

 

Who will receive an email when the status changes (countries):

 01_created:
 02_proof from agency to country: SMAS, SAC & SAM
 03_proof from country to marketing: Marketing
 04_proof from marketing to agency: Agency
 05_final proof from agency to country: SMAS, SAC & SAM
 06_final proof from country to marketing: Marketing
 07_final proof from marketing to agency: Agency
 08_ONLY FOR APPROVAL - from agency to country - from agency to country: SMAS, SAC & SAM
 09_ONLY FOR APPROVAL - from country to marketing - from country to marketing: Marketing
 10_ONLY FOR APPROVAL - from marketing to agency - from marketing to agency: Agency
 

Who will receive an email when the status changes (Appendix countries):

PLEASE NOTE: it is not allowed to add corrections after the status have been
changed!
 

What to focus on – and when?

What to focus on in proof

  • S&E check that prices and text are set up correct according to 100% Manus
  • Further price adjustments according to Market
  • Marketing Check that pages/spreads are made according to templates chosen and according to information from SAC given on HO meeting. Marketing is only checking layout and graphical set up – as Manus is done 100%
  • Check all comments from S&E


 
What to focus on in final proof

  • S&E responsible for last proof check (offers out/in), and Manus is made for new offers
    • If new offers the rule is: 1 out – 1 in. This means that one offer goes out and a new offer comes in.
  • S&E check that all information from proof have been made correct
  • If additional changes need to be made. ONLY need corrections (that have commercial benefits for JYSK).
  • Marketing checking that comments given on layout and graphical set up in Proof are done correctly, and if offers in/out new photos to be selected and Manus send to agency
  • Remember to always add Abbreviation to all comments made in print proof


 
ONLY FOR APPROVAL

  • SAC, SMAS and marketing check that all corrections from final proof have been made correct
  • No additional changes are to be made

Marketing will select the colour of the note.

  • Yellow: text correction
  • Blue: internal correction in S&E (will not be sent to agency + will not be visible for marketing)
  • Red: layout correction
  • Green: internal note from S&E to marketing (will not be sent to agency)

Copy the text from page:

Mark the text as shown - a new  note will open automatically with  the marked text.

How to use…

All text must be in a note.
 Only text/correction commented in sticky note will be corrected by the agency.
 Symbols (arrow/box/cirkel) must only be used combined with a sticky note.

When you download the PDF in Adobe Reader, you need to change the page display to view the correct page setup: View->Page Display-> mark "two-up continuous" and "Show cover page during two-up".
Then you don't have to print the PDF file :-)

Choose workflow:

  • CP-country: DK, SE, NO, FI, PL, HU, NL, UK, CZ, HR, RO, BA, RS, GR, BE
  • CP-appendix: SK, SI, BG

When you choose the correct workflow, the new status will be shown in new status.
 You can write a comment if necessary.

Click OK, and an email will be sent to the next responsible person.

Photo corrections: If an incorrect photo is found during revision, the comment should be more than just 'Incorrect photo'. Explain, for example, what is wrong + enter article number and name.

Approvers: For all countries / media there is an approver group. When you choose an approver group the fields will be filled in automatically.

Fill in all the deadline dates for the all workflows.
(To make it easy: The date can be written e.g. 050209 – without hyphen)

Click on "Workflow" to select the workflow.

Status will always be 01_created when you create a new workflow.

Edit – Change the dates

If you need to change the dates in an existing workflow, you change the dates and choose the workflow "Send update", and then an email will be send to the persons in the approver group.
